Two ways to add addresses to the print list
- Add an Address List to the print
list
- Add individual addresses to the
print list
How to add an address list to the print list:
When you add an address list to the print list all addresses from the
address
list are added to the print list. Multiple address lists can be added to the
print list at one time.
To select the address list(s) to add to the print list click the "Add
address list(s)..." button on the Print Address Labels dialog. This will display a
dialog of all the address lists for the current user. Notice the dialog also
allows you to view, edit or delete from an existing address list or create a new
address list. For more
information about address lists and how to manage them, click
here. After selecting the
address list(s) to add
to the print list click the "Add to Print List" button. This will close the
dialog and add the addresses from the selected address list(s) to the print
list.
How to add individual addresses to the print list:
You do not need an address list to add addresses to the print
list.
To add individual addresses to the print list click the "Add/Edit
Addresses..." button on the Print Address Labels dialog. This will display the
Print List Editor dialog that is similar to the dialog seen when creating a new
address list. The Print List Editor dialog allows you to add, edit or remove
addresses from the print list. The print list is located on the right side of
the Print List Editor dialog.
When you add addresses to the print list you can select
contacts from all address books including the permanent address books (All Individuals, All Organizations,
Search Results).
First, select the address book from the combo box that
contains
the contact whose addresses you want to add to the print list. Second, select
the contact you want to add to the print list. After you select
the contact, the "Select Recipient" and "Select Address"
combo
boxes are populated with the contact's address information.
Below is an explanation of the information contained in
these
combo boxes based on the type of contact selected:
| Contact Type |
"Select Recipient" Items |
"Select
Address" Items |
|
Individual |
Contact's Name
Combined Name
Spouse's Name
Children's Name |
Home Street Address
Home Mailing Address
Work Street Address
Work Mailing Address |
|
Organization |
Organization's Name
Contact Person's Name |
Street Address
Mailing Address |
After you select the desired recipient and address you will see the full
address displayed in the editable preview. Since this preview is editable,
you can make changes so that the address is
exactly as you would like for it to appear.
After the address is exactly as you want it, it is time to
add it to
the print list. Notice the combo box below the "Add to
Print List" button. This combo box allows you to select the
number of copies of the address in the preview to add to the
print list. For example, if you want to print 80 address labels for
the address from the preview, you would select 80 from the combo box.
After selecting the number of copies to add to the print
list,
click the "Add to Print List >" button. This will add the address
from
the preview to the print list. Continue this process until the
you are finished adding addresses to the print list.
It is possible to edit the print list before you save it.
To remove
an address from the print list select the address(es) to remove
and either press the "delete" key, right click the print list and
select "Remove" or click the "Remove" button located below the
print list. Multiple addresses can be removed at one time. If
you would like to remove all addresses from the print list either
right click the print list and select "Remove All" or click the
"Remove All" button located below the Print List. To edit an
address in the print list either right click the print list and
select "Edit..." or click the "Edit..." button located below the
print list. This will show the Edit Address dialog. Make your
changes and click the "Save Changes" button.
When you have finished editing the print list, click the "Save Changes" button to save the changes made to the
print list.
How to remove addresses from the print list:
Other than using the print list editor mentioned above, you can remove
addresses from the print list while the Print Address Labels dialog is showing.
To remove an address from the print list select the address(es) to remove and
either right click the print list and select "Remove" or press the "delete" key.
Multiple addresses can be deleted at one time. To remove all addresses from the
print list right click the print list and select "Remove All".
After the print list is complete click the "Print..." button to open the
Label Options dialog.

Label Options dialog

The Label Options dialog allows you to select the label sheet, the starting
label index for the first sheet and the font size.
Label sheet:
There are 13 common label sheets to select from. If you are using a
label sheet other than one of the 13 common label sheets, you can create a custom
label sheet. It will seldom be necessary to create a custom label sheet. Locate
the label sheet information on the label sheet package. If your
label sheet is listed in the combo box, select it from the combo box.
If your label sheet is not listed in the combo box, click the "New Label
Sheet..." button to open the New Label Sheet dialog to create a custom label
sheet. Once the New Label Sheet dialog is open, notice the picture of a portion
of a label sheet at the top. This explains all measurements needed to create a
custom label sheet. All measurements excluding the vertical and horizontal pitch
should be located on the label sheet package. For the vertical and horizontal
pitch you may need to use a ruler or tape measurer. The vertical pitch is the
distance from the top of one label to the top of the next label. This distance
is sometimes the same as the label height. The horizontal pitch is the distance
from the left of one label to the left of the next label. This distance is
sometimes the same as the label width. A ruler or tape measurer can be used for
all measurements if you can't seem to locate the label sheet measurements or you
do not have the label sheet package. Enter your measurements as Label
Sheet Properties below the picture. Click the "Save" button to save the label
sheet. The New Label Sheet dialog will close and the newly created label sheet
will be selected.
Once a label sheet is created, it will always be there unless you delete it.
Only label sheets created by you can be deleted. To delete a label sheet select
the label sheet to delete and then click the "Delete" button.
Starting label index:
The starting label index area allows you to select the label index to begin
printing for the first sheet. This is helpful if you are printing on a label
sheet that has already been used. For label sheet #2 and on, printing will begin
at index 1 (the first label).
Font size:
Depending on the size of the label you are using you may want to increase or
decrease the font size. Select the font size from the combo box.
Ready to print:
After selecting the label options click the "OK" button. A Print
dialog will appear allowing you to select the printer
to use, number of copies etc. Select your Print dialog's print button (may be
labeled "Print" or "OK") to print the address labels.
Click here to see an example of an printed
address label sheet.
Note: Address labels can be printed on letter size label sheets (8.5 x 11in) ONLY.
Note: All selection that you made for the label sheet, starting label index
and font size will be remembered so that the next time you enter the Label Options
dialog they will be selected.
